We take the privacy of every young poet seriously. This notice explains what information we collect, why we need it, how long we keep it, and what rights you have. Questions? Write to [email protected] — a real person will reply. We encourage you to read this notice with a parent or guardian.

When you submit a poem, we collect:
| Information | Why we need it |
|---|---|
| Your poem (uploaded file) | This is what you are entering — judges read it |
| Your full name | Certificates, awards ceremony, and publication if you are shortlisted or selected |
| Your gender | Programme statistics only, reported in aggregate |
| Your date of birth | To confirm you are within the 8–18 age range |
| Your school name and location | Group entries via teachers; statistics; ceremony logistics |
| Your contact email | To confirm receipt and notify you of results |
| Parent/guardian name and email | Required only if you are 13 or younger |
| Login email and password | To access your entry |
Judges see your poem and nothing else. Judging is anonymous: your name, school, and email are removed from everything the judges view. The programme team can see the full information above, only to run the competition, contact you, and organise the summer camp and awards. We do not sell, rent, or share your personal information with any third party for marketing. Full stop.
Your submission is stored on a secure server in Hong Kong hosted by Tencent Cloud, and email confirmations are sent through Google Workspace. For participants in mainland China, this means your personal information is transferred outside the mainland. We protect this transfer with encryption and access controls, and we ask for your (and, if you are 13 or younger, your parent's) separate consent to it when you submit.
Young poets' records are stored separately from other data, and only authorised team members who have been trained in handling children's information can access them. We keep a record of parental consent as evidence of our compliance with data protection requirements.
We keep your information for three years after the competition deadline — that is, until 15 March 2030 — so that we can run the programme, publish selected poems, invite shortlisted poets to the summer camp and UK tour, handle any questions, and resolve any disputes. After that date, we delete your personal information. You can ask us to delete it earlier at any time (see Section 6).
The one exception is your contact email. If you have agreed to hear news from us, we keep your email address after that date so we can tell you about the next competition and other programmes. You can withdraw this at any time — just reply to any of our emails or write to [email protected] with "unsubscribe", and we will delete your email address.
Your poem belongs to you. Entering the competition does not transfer your copyright. If your poem is shortlisted or selected, you grant us permission to display and publish it (with your name credited) in connection with the programme — for example, on our website, in an anthology, and in press materials. Shortlisted and selected poets grant us a first-publication right, as set out in the Submission Guide.
Celebrating selected poets in public is part of what the prize is: if your poem is shortlisted or selected, your name, school and poem will be published on our website, our social media, and in our anthology. This is disclosed here before you enter and agreed to as a condition of entry — we will not ask you again at the time of announcement. If you or your parents are not comfortable with this, please do not enter the competition. If you have questions, contact us at [email protected] before submitting.
You (and your parents) may at any time: ask what information we hold about you; ask us to correct it; ask us to delete it (and withdraw any consent you have given); complain to us if you think we have mishandled it. Email us at [email protected]. We will respond within 14 days.
If you are shortlisted or selected, we may photograph, film and record you at programme events — including the awards ceremony, the summer camp, and the UK tour (for example the ceremony at Trinity College, Oxford, and masterclasses) — and use those photographs, videos and recordings, together with your name and school, in programme publicity and in materials we provide to the press and our partners for reporting on the programme.
We will send you and your parent/guardian a short online consent form together with the winners' notification email — one link, a few clicks, no paperwork. This consent is separate from entering the competition. Independent press coverage of public prize events is a normal part of a national award; the consent form covers the photographs and footage we take and share ourselves.
We may use anonymised data (no names, no schools, no contact details) to evaluate and improve the programme — for example, how many entries came from each region. Anonymised data cannot identify you.
